CONSTITUTION of





    WITCOMBE FOLK DANCE CLUB

    1. NAME

    The club shall be called “Witcombe Folk Dance Club”.


    1. AFFILIATION

    The club shall be an affiliated club of the English Folk Dance and Song Society.





    1. OBJECTS

    The objects of the club shall be:





      1. The association of persons interested in folk dancing.

      2. To promote interest in, and improvement of, the standard of folk dancing.

      3. To encourage and assist in the development of musicians and callers for folk dance.

    1. MEMBERSHIP

    Membership of the club shall run from 1st September to 31st August of the following year and shall be open to persons over 16 years of age or 14 if a parent or guardian is a member, upon payment of the prescribed annual subscription.

    1. VISITORS

    Visitors may attend club evenings subject to a minimum age of 16 years, or 14 if accompanied by a parent or guardian. Occasional visitors under this age, accompanying a member, are allowed with the approval of two officers.

    1. SUBSCRIPTIONS, FEES AND EXPENSES

    a) Subscriptions, fees, reimbursements and any levies shall be determined at an Annual General

    Meeting or Extraordinary Meeting, and details shall be published.

    b) The committee may vary the entrance fee payable by members and visitors for attendance at

    special meetings or events or special club evenings.   

    c) All persons attending club evenings shall pay the prescribed fees and levies, with the

    exception of members or visitors attending specifically to play or call.

    d) Expenses incurred by members, solely and exclusively in their club duties, will be reimbursed by the club.

    7 PRESIDENT

    The club may appoint a president who shall serve as long as the person so appointed wishes to do so, or until a majority of those present and voting at an Annual General Meeting or Extraordinary Meeting of the club shall decide otherwise.

    8 APPOINTED OFFICERS

       a) The following officers shall be appointed at the Annual General Meeting: Chairman, Secretary, Treasurer, Dance Leader  and   Music Leader. The appointments shall take effect from the conclusion of the meeting, and last until the conclusion of the next A.G.M.           

       b) Only members of twelve months standing and over the age of eighteen years shall be eligible for election.

    9 COMMITTEE





        a) The officers and three members shall constitute a committee to manage the club.

        b) Only members of twelve months standing and over the age of eighteen shall be eligible.

        c) The three members shall be appointed at the Annual General Meeting for a period of one year.

        d) The committee may appoint a member to fill a subsequent vacancy arising during the year and such member shall act until the ensuing Annual General Meeting.

        e) The committee may co-opt up to two members from time to time.


    10 ELECTIONS

    If the number of nominations to any of the appointments which may be made under this constitution exceed the number of vacancies there shall be a vote. Nominations shall close four weeks prior to the Annual General Meeting unless there are insufficient nominees for any post, in which case, nominations are accepted at the Annual General Meeting.


    11 FINANCE

    The club’s financial year shall end on the last day of February.





    12 ACCOUNTS EXAMINER

    The club shall appoint at the Annual General Meeting an accounts examiner, who must not be a member of the committee, to examine the accounts.


    13 ACCOUNTS

    The treasurer shall maintain a bank account in the name of the club. Cheques shall be signed by any two of the appointed officers.


    14 ANNUAL GENERAL MEETING

    The Annual General Meeting of the club shall be held within the three months following the end of the financial year each year to transact the following business:

    a)to confirm as a correct record the minutes of the previous Annual General Meeting and/or Extraordinary Meeting

    b)1to receive a report from the Secretary

       2 to receive and, if approved, to adopt a statement of the club’s accounts duly examined.

       3 to receive a report from the Dance Leader

       4 to receive a report from the Music Leader

    c) to appoint the members and officers of the committee

    d) to appoint an accounts examiner

    e) to deal with such other matters as the committee may put before it

    f ) to deal with matters put forward by members, of which they have given notice to the Secretary                

    g) to deal with other pressing matters of which no notice has been given but which a majority of those present, and voting at the meeting, consent to consider.

    15 NOTICE

    Written notice convening meetings shall be given or sent to members not less than seven days before the meeting and shall specify the matters to be considered. Notices of Motions to amend the constitution at the Annual General Meeting shall be submitted in writing and lodged with the Secretary at least twenty eight days before the meeting.


    16 EXTRAORDINARY MEETING

    a) An Extraordinary Meeting may be convened at any time by the Committee.

    b) An Extraordinary Meeting shall be covened by the Committee within twenty eight days 

                   from the receipt of a request in writing signed by not less than fifteen club members,specifying the reason for the meeting.


    17 MINUTES

    Minutes will be taken of all meetings of the club and committee and held by the Secretary.

    18 QUORUM

      At Committee meetings five persons shall form a quorum (to include at least one officer). At Annual General Meetings or Extraordinary Meetings of the club fifteen persons shall form a quorum.

    19 AMENDMENTS

      This constitution may be altered, varied or revoked by a majority of those present and voting at an Annual General Meeting or Extraordinary Meeting of the club, providing prior notice of the proposed amendment, variation or revocation has been set out in the agenda of the meeting.


    20 COPY OF CONSTITUTION

      A copy of the constitution shall be given to each member upon joining. The secretary shall keep a copy of the constitution available for inspection as may be amended from time to time in accordance with Article 19.
